WHAT IS AN ADMISSIONS SPECIALIST ?

The Admissions Specialist plays a crucial role in managing the admission and enrollment processes for designated market segments. Leveraging a comprehensive customer relations management system (CRM), this position facilitates communication with students, handles data entry for undergraduate applications, and analyzes pertinent data. Additionally, the specialist aids in the execution of admissions policies and procedures, ensuring applications are processed efficiently. The role also extends to providing exceptional customer service to prospective and current students, educational professionals, and university staff to maintain smooth operations.

Need-to-Know Overview of an Admissions Specialist

1. Admissions Specialist Duties and Responsibilites

  • Counsel and advise students and families about educational opportunities, admission, university policies and requirements
  • Perform detailed work requiring judgment, accuracy, and speed, while maintaining quality, processing documents for applicant and student records
  • Perform tasks related to document processing including document scanning, data entry with strict adherence to established processing rules and procedure; 
  • Routing applications for counselor review;
  • Screen applications to ensure all required admissions documents are received and applications are complete.
  • Provide input and recommendations in determining the admissibility of "special consideration" cases
  • Act as liaison with various constituencies including students, parents, high school and two-year school officials, faculty, academic departments and colleges, athletics, and alumni.
  • Maintain communication by phone, email and/or mail correspondence with prospective students through all stages of the recruitment and admission process in a courteous, clear, efficient and timely manner.
  • Utilize CRM system to communicate with students, process admissions, prepare reports, and/or analyze data
  • Assist with departmental activities as needed and participate in university-wide events
  • Benchmark national admission best practices and continuously implement new initiatives
  • Participate in school visitations and college programs for prospective students
  • Represent the university in its recruitment efforts and in providing special outreach services in the community and state.
  • Attend admissions meetings and participates in all college-wide programs
  • Provide coverage for college fair conflicts and conduct information sessions as necessary

2. Admissions Specialist Skills, Experience, and Qualifications

  • Bachelor’s degree is highly preferred
  • 1-3 years of experience working in a call center
  • 2-5 years of experience in Behavioral health / ABA is highly preferred
  • Ability to communicate effectively in English and Spanish, both verbally and in writing
  • Excellent verbal and written communication skills.
  • Excellent attitude and ability to work well within a team
  • Proficient in Microsoft Office and Outlook
  • Ability to organize and prioritize tasks
  • Ability to multi-task and work in a fast-paced environment
  • Experience with CRM system(s) preferred
  • Capable of establishing a courteous and professional rapport through personal and distance communication tools.
  • Proficiency using computers and related IT equipment, including, but not limited to: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint); Acrobat Pro, Google Docs, Web browsers (Google Chrome, Internet Explorer, Mozilla Firefox)
  • Excellent human relations and administrative skills, especially the ability to manage sensitive information with decorum and confidentiality.
