SALES ADMINISTRATOR JOB DESCRIPTION

1. As a Sales Administrator, you will manage and process all sales orders impacting the production schedule to ensure timely dispatch according to customer requirements. This role involves using the Navision MRP system, coordinating with various departments, and handling transport logistics to meet customer demands.

Sales Administrator Functions and Responsibilities:

  • Taking full responsibility for processing and progressing all sales orders which impact on the production programme with the aim of despatching goods according to the customers’ requirements.
  • Processing sales orders using the Navision MRP system, together with the wide range of word-processed supporting documentation, and Excel spreadsheets.
  • Ensuring that you are aware of all details concerning orders which enter the production programme. 
  • Ensuring that this is up-dated on a daily basis and that all relevant staff are informed accordingly. 
  • Liaising with Engineering, Production, Service, Logistics and Accounts staff.
  • Booking transport so that systems are despatched via whatever method necessary to meet customer requirements - export (Incorerms)
  • Attending meetings as required to advise of new orders and to agree lead-time dates.
  • Processing spares orders and service orders/upgrades as and when required.
  • Keeping abreast of all necessary export procedures (Incoterms) and documentation for despatch - those for EC and those for the rest of the world.


Sales Administrator Educations and Qualifications:

  • Knowledge: College graduated at least with a major in business administration, accounting, etc.
  • Previous experience of processing sales orders and quotations
  • Confident with good communication skills to liaise with a wide range of worldwide customers, including small one off accounts and large key accounts
  • Computer literate, preferably with previous experience of an integrated or SAP / MRP system
  • Be familiar with Incoterms and/or Export although not essential
  • Be fluent in German would be highly regarded
  • Interest and ability to understand and learn the technical properties/data about the product range

Under the supervision of the Manager Accounts, Export Sales and with a certain degree of autonomy and self-management, the Sales Administrator will provide vital support to the company’s sales team. He/she will proactively follow up and follow through with customer’s requests and is responsive to customer’s needs, while also maintaining contact with key OEMs and Distributors.

  • Customer Inquiry creation and maintenance according to sales indications and customer requests
  • Monitor on time delivery for customer orders of the assigned areas

  • Weekly call with Share Service In Uk for discussing issues related to customers' payment, credit limit, orders releases, etc.
  • For the assigned Key OEMs managing scheduling agreement, inquiries and collecting information from other departements in order to assure quick replies
  • Handle and solve specific problems with Distributors and OEM accounts. Whenever the problem is out of the responsibility of the position, act as an interface with other Department of the company so as to make the solving process as smooth and quick as possible
  • Ensure applicable product compliance requirements are upheld including but not limited to the Clean Air Act, California Code of Regulation and California Health and Safety Code


Sales Administrator Requirements and Qualifications:

  • University degree is preferred
  • Ability to manage the various projects and the unforeseen critical situations quickly and rationally, looking for the most proper solutions.
  • Good sales and communications skills and the ability to influence promotional efforts of distributors and distributor sales staff at high level.
  • Able to work on accounts that are shared by more than one company sales channel to ensure coordination of efforts when appropriate.

  • Foreign languages: English (C1); knowledge of German or Spanish is highly preferred.
