WHAT IS A SALES ADMINISTRATOR?

The Sales Administrator will collaborate closely with the Global Sales organization and Sales Operations teams to ensure efficient and timely information sharing, reporting, and management of daily processes. This role requires a high degree of precision in handling sales and compensation data, as well as a proactive approach to process and tool development. Strong collaboration with Finance and IT is essential for success in this role, as is a solution-oriented mindset.

Need-to-Know Overview of a Sales Administrator

1. Sales Administrator Roles and Responsibilities

  • Entering and validating sales quotes and orders (Channel and Direct).
  • Monitoring the incoming tickets and queues to receive new orders and work with direct sales and partners to enter and process these orders in finance systems.
  • Supporting the Accounts Receivables process.
  • Support requests during salespeople vacations and routing requests toward appropriate areas within M-Files.
  • Communicating professionally and with thoroughness to all stakeholders, internal and external, regarding any item assigned.
  • Proactively search for and document additional support needs within the sales organization that would reduce admin burden on salespeople and/or help M-Files become a better company to work with for our employees and partners.
  • Assisting with routine administrative functions inside key systems such as Salesforce and others as designated.
  • Assisting with the development and maintenance of SOP documentation for sales processes as we develop global standards of operation.
  • Other responsibilities as assigned: the role is expected to shift with the varying needs of sales operations as new systems/processes are implemented on a global scale.

2. Sales Administrator Experience and Qualifications

  • BA/BS degree or equivalent work experience.
  • Strong Microsoft Office skills.
  • Ability to communicate to all levels within the organization.
  • Detail oriented with the ability to consistently produce a high level of accuracy.
  • Affinity with sales processes, sales tools and applications.
  • Understands or can quickly grasp and communicate the relationship between processes and systems.
  • Ability to work independently and to adapt quickly and effectively to changing environments and initiatives.
  • Proven track record of maintaining focus and ability to execute in a variety of circumstances, within a large team of people.
  • Ability to prioritize risks and issues to drive resolution and engage others when necessary.
