Job Summary: 

  • Owns the full day-to-day calendar management for the Head of International Technology across global time zones
  • Coordinate and schedule all local and global meetings, prioritise, and manage meeting conflicts
  • Ensures information and documentation supporting meetings are prepared and distributed
  • Support minute taking and agreed actions from meetings
  • Manage all travel arrangements and related activities (visa applications, booking of transportation/accommodation, itinerary development)
  • Work with diverse teams across APAC and International Technology to help collate relevant information for the head of International Technology
  • Prepares, reconciles, and tracks expense reports for Technology
  • Helps with hiring, staffing plans and seating/floor plan as well as facilities management tasks and activities
  • Helps with training and development activities across regions and with multiple teams
  • Financial administration such as invoice and vendor contract management for technology vendors and procurement
  • Assist with the creation/modification of presentations, spreadsheets, and other various documents
  • Work under pressure with the flexibility to adapt to changing priorities in a deadline-driven environment
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Organize team communications and plan team events, both internally and off-site
