WHAT IS A FRONT DESK ADMINISTRATIVE ASSISTANT ?
The Front Desk Administrative Assistant serves as both the welcoming face and the voice of our company, setting the tone for the first impression we create. This position involves greeting guests and customers warmly, ensuring a professional first contact, and handling a variety of administrative duties to support the diverse needs of the company's departments.

1. Front Desk Administrative Assistant Responsibilities
- Serving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately and professionally.
- Ensures the safety and security of the office by adhering to company policies, controlling access to various parts of the building, and managing guest registrations, including verifying identities as required.
- Responsible for providing and managing the completion of necessary forms and documentation as dictated by company policy to maintain compliance and order at the front desk.
- Answers, screens, and forwards incoming phone calls to appropriate personnel.
- Receives, sorts, and distributes daily mail and front office deliveries.
- Perform clerical duties such as data entry, filing, photocopying, faxing, etc.
- Organize various meetings and office events (e.g. team-building events, happy hours, etc.).
- Assist in the onboarding process for new hires.
- Assist with administrative and special projects as assigned.
2. Front Desk Administrative Assistant Knowledge and Abilities
- Proven work experience as a Receptionist, Front Desk Representative, or similar role, 1 yr preferred at minimum
- Highs School Diploma required AA required at minimum
- Friendly and easy-going personality while being disciplined and perceptive
- A customer-oriented approach is essential
- Excellent phone etiquette
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines, printers, computers, etc.)
- Professional attitude and appearance
- Excellent written and verbal communication skills
- Excellent interpersonal skills
- Ability to be resourceful and pro-active when issues arise
- Must be highly attentive to detail and demonstrate a strong sense of urgency.
- Demonstrates high integrity and capability in handling confidential and sensitive matters/materials
- Must be able to demonstrate reliable attendance and punctuality
- Must be able to perform work under little or no supervision
- Bilingual English and Spanish is preferred
