WHAT IS A CONSTRUCTION ADMINISTRATIVE ASSISTANT ?
As a Construction Administrative Assistant, you will manage administrative tasks for both existing construction projects and new initiatives. Your role involves direct collaboration with the CEO and Project Managers to oversee documentation, organize schedules, and handle communications. Additionally, you will assist in project setup, coordinate logistics, and maintain robust relationships with stakeholders to ensure project success.
Need-to-Know Overview of a Construction Administrative Assistant
1. Construction Administrative Assistant Roles and Responsibilities
- Draft correspondences and other formal documents
- Plan and schedule appointments and events
- Answer inbound telephone calls
- Develop and implement organized filing systems
- Perform all other office tasks
- Assist in startup documents for each project
- Plan and coordinate the project with GTC support staff and customers for billing and operations
- Coordinate all equipment, material, and subcontractor purchases orders and delivery
- Write and manage all correspondence, front end, and closeout documents including submittals, pay applications, and O&M Manuals
- Identify and track all costs and change orders as approved
- Responsible for developing and maintaining contract billings
- Develop and maintain quality relationships will Owners, suppliers, and subcontractors
- Help coordinate the startups for equipment with GTC Construction Project Managers or manufacturers
- Coordinate warranty requests with Project Managers
- Follow up with customers to ensure satisfaction and look for feedback on ways to improve our delivery of the project
- Provide administrative support to ensure the efficient operation of the Pre-Construction/construction team.

- Able to handle sensitive information in a confidential manner
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Proficient in MS Office (especially Excel)
- Proficient in Bluebeam preferred (not required)
- Valid Driver License and reliable vehicle (Driving during business hours is required)
