12. Closing Coordinator (Residential Homebuilding)

Sitting at the intersection of home sales and closing administration, the Closing Coordinator produces final bills, closing documents, and property tax calculations that prepare each residential file for signing. Operating across the lending institution, title company, Realtor, and customer, the coordinator keeps documentation on track and closes out every file cleanly after the sale.


Job Functions

  • Process all necessary paperwork and information related to the closing process in a timely and accurate manner.
  • Act as liaison and coordinator between the Company, lending institution, title company, Realtor and customer.
  • Set up and maintain customer files.
  • Represent the company during the closing process.
  • Audit and prepare final bills and other closing documents.
  • Track and assure all documentation is prepared and ready for closing.
  • Coordinate signing, notarizing and pickup of closing documents.
  • Update and maintain necessary programs with closing information.
  • Update systems after closing and process all necessary paperwork to complete and close out the file.
  • Take responsibility for property taxes, including calculations, refund checks to buyers, etc.
  • Prepare and distribute reports.


Minimum Qualifications

  • College degree is required.
  • Previous experience in an Administrative role, with mortgage, title, or closing coordinator experience preferred.
  • Knowledge of residential home sales contract and closing documents and disclosures is a plus.
  • Proficient with Microsoft Office, including Word, Excel and Outlook.
  • Detail-minded with an eye for detail and excellent organizational and follow up skills.
  • Ability to multi-task and work well under pressure while meeting strict deadlines.
  • Excellent verbal and written communication skills.
  • Friendly, personable and approachable manner with both internal and external customers.
  • Team player with a positive, reliable and responsible mentality.
