Sitting at the intersection of philanthropic grant operations and financial compliance, the Cash Management Specialist leads annual audit coordination, donor-advised fund payment logistics, and 990 preparation support in collaboration with the Tax Specialist and Grants team. Operating within the finance function of a nonprofit or private foundation, this role maintains the master reconciliation of historical giving, oversees grantmaking system integrations, and supports Board and Committee reporting cycles that require deep knowledge of nonprofit and DAF compliance requirements.


What You'll Do

  • Review and compilation of management reporting, including philanthropic reporting.

13. Cash Management Specialist (Accounts Receivable & Lockbox)

A key member of the accounts receivable and treasury operations team, the Cash Management Specialist applies and reconciles all payments received into the Oracle accounts receivable system while monitoring automated Lockbox and Cash Application activity to ensure cash entries are booked to the correct General Ledger accounts. Collaborating with collectors, the Controller, and banking partners, this role resolves unapplied cash and on-account items and produces monthly reconciliations and close entries that keep receivables reporting accurate and current.


Scope of Work

  • Monitor and reconcile the automated Lockbox / Cash Application process.
  • Apply and balance cash to customer accounts on a daily basis.
  • Serve as a liaison with customers to accept confidential credit card payments and resolve unapplied lockbox payments.
  • Prepare various summary reports of outstanding issues and take corrective action, as appropriate.
  • Keep department lead and controller apprised of unresolved issues that may negatively impact receivables.
  • Work with collectors and others to identify and implement solutions.
  • Complete monthly cash journal entries for month-end close.
  • Perform monthly reconciliation (cash applied vs. cash received).
  • Assist the Accountants on bank reconciliations for the lockbox and credit card accounts.
  • Communicate with bank on any issues affecting payments and/or the transmission of same.
  • Assist in the downloading of various data from Oracle and preparation of accounts receivable reports.
  • Identify issues and make recommendations for improvement for the automated Lockbox / Cash Application process.
  • Assist with backup responsibilities and other miscellaneous duties.


Position Requirements

  • Associate's degree in Accounting helpful but not mandatory.
  • High school diploma and minimum of three years of collection experience required.
  • Prior office experience required.
  • Prior Oracle experience preferred.
  • High level of PC skills (Excel, Word, Access, graphs, etc.).
  • Prior experience using an online, automated Accounts Receivable system.
