WHAT DOES AN EVALUATOR DO?

Updated: Jun 13, 2025 - The Evaluator works in coordination with the content team to ensure accurate and timely updates to the database while training junior team members and expanding knowledge in municipal and fixed-income sectors. This position reviews transcripts, course descriptions, and certifications to evaluate transfer credits, researches institutional best practices, and liaises with previous schools for verification. This role supports the Office of the Registrar by assisting stakeholders, maintaining workplace culture, and conducting olfactory reviews and flavor description compilations for customer submissions.

A Review of Professional Skills and Functions for Evaluator

1. Evaluator Duties

  • Data Collection: Reporting to the Project Director, provides support for project data collection and performance assessment as well as the implementation of the evaluation plan.
  • Coordination: Coordinates activities with CCBHC Project Director and shares timely data/communication.
  • Interview Administration: Track and ensure the timely administration of intake and six-month SPARS reassessment interviews.
  • Program Evaluation: Assist with implementation and tracking for WHCG program evaluation.
  • Technical Assistance: Provide technical assistance to CCBHC grant, data collection for SPARS and local evaluation.
  • Data Reporting: Provide timely collection of SPARS and local evaluation to the Project Director.
  • Data Entry: Enter evaluation data into the SAMHSA SPARS system and project databases.
  • Client Relations: Respond directly to client inquiries, providing justification and evidence that supports valuations while providing a top-level customer experience.
  • Sales Support: Support sales and account management teams with pre- and post-sales client calls.
  • Process Improvement: Work with developers and business leaders to enhance the evaluation process and meet stakeholder expectations in the following areas: Regulatory requirements, Coverage and accuracy, Automation and transparency, and Customer service.

2. Evaluator Details

  • Documentation Review: Review and analyze documentation checking off items as they are received to ensure files are completed.
  • Information Verification: Verify information needed such as title commitments, UCC filings, environmental reports, appraisals, and flood insurance and look over the correct tax documentation for underwriting.
  • Loan Document Review: Review loan documents and ensure proper vesting, legal descriptions, dates, signatures, etc.
  • File Maintenance: Track and follow up on maintenance of files including rate and payment changes, automatic payment, online banking, insurance, UCC renewals, financial statements and tax returns, corporate verification of status, inspections, etc.
  • File Monitoring: Make sure loan files are monitored correctly and suggest changes to be made and ensure accuracy.
  • Approval Confirmation: Confirm all loans booked to have the proper approvals and signatures in the loan file.
  • Report Preparation: Prepare monthly reports from findings to Senior Management.
  • Account Balancing: May maintain and balance commercial loan holdover accounts on a monthly basis.
  • Underwriting Review: Review the underwriting of tax returns and financial statements as presented in the loan presentation.
  • Regulatory Compliance: Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.

3. Evaluator Responsibilities

  • Library Organization: Organize and maintain a library of all Flavours developed.
  • Flavour Evaluation: Continually review existing Flavours to see if worth maintaining in the library.
  • Project Review: Review all international projects.
  • Feedback Communication: Communicates feedback on submissions to affiliates.
  • Project Reception: Receive and review all Flavours projects.
  • Flavour Assessment: Determine the appropriateness of existing library Flavours.
  • Collaboration with Flavourist: Work with flavourist to set flavour direction and help them to develop Flavours according to customer and market standards.
  • Sales Collaboration: Work closely with salespeople to determine directions and evaluate progress on Flavours being developed or selected for submission against projects.
  • Workflow Prioritization: Work with Flavours to prioritize workflow.
  • Project Closure: Works with sales service to prioritize and close out projects.
  • Sample Coordination: Coordinate samples to be evaluated for Flavours review with Lab Manager and Applications.
  • Marketing Collaboration: Work closely with Marketing to understand trends, new products and new product meetings.

4. Evaluator Job Summary

  • Database Management: Work in coordination with the content team to ensure that new issue information is added to the database in a timely and accurate manner.
  • Team Training: Train junior team members.
  • Sector Knowledge: Build on municipal and fixed-income knowledge across a variety of sectors.
  • Credit Evaluation: Evaluates transfer credit by reviewing transcripts and professional certifications to determine whether course requirements meet the university’s criteria for selected degree programs.
  • Credit Research: Researches transferring credit by reviewing appropriate documents (e.g., course syllabi, course descriptions, college catalogs).
  • Information Gathering: Contacting previously attended schools to obtain information, and benchmarking other institutions' learning best practices to properly evaluate and equate transferable courses and professional certificates.
  • Project Support: Performs varied assignments within the Office of the Registrar by supporting relevant stakeholders and obtaining the necessary information to successfully complete the projects to meet the needs of the university.
  • Workplace Culture: Promotes, maintains, and enhances workplace culture within the Office of the Registrar and the university.
  • Olfactive Review: Responsible for the olfactive review of stability samples.
  • Flavour Compilation: Responsible for compiling Flavours descriptions for submissions by the customer and/or sales.

5. Evaluator Accountabilities

  • EHR Management: Participates with the EHR team in managing new and existing electronic health records, integrating all aspects of the process to ensure that all divisions and departments are involved in the process and needs are met in relation to others.
  • Collaboration: Collaborates with the electronic health record and financial software staff to manage the process of implementation and maintenance.
  • Data Integration: Works with electronic health and financial software system staff to learn how to build in data collection processes to be able to generate data from the systems for reports.
  • Dashboard Creation: Creates data dashboards for quick access to information.
  • Data Set Development: Develops data sets outside of EHR needed to manage data for program evaluation, grants management, funding compliance, and other needs.
  • Data Oversight: Oversees data collection, reporting, and tracking processes across the agency.
  • Data Protocols: Establishes data collection protocols for all required measures, and additional measures.
  • Staff Education: Assists and educates staff in data management requirements and techniques to assure data accuracy and integrity.
  • Compliance Reporting: Works with Director of Quality Improvement to provide data and reports to ensure compliance with all reporting to funders and regulatory entities.
  • Survey Development: Develops survey and other data collection tools and processes.
