Client Care Specialist Job Description Template

1. About the Role

A Client Care Specialist handles the daily reality of client retention: the chat queue with twelve open threads, the escalation that cannot wait, and the moment a frustrated B2B account needs one clear answer. This role owns first-contact resolution across phone, chat, and email channels, sitting within a dedicated support function that reports into customer success or operations. Two measurable facts define the work: churn rate and product engagement score, neither of which moves without consistent, skilled intervention. Few individual contributor roles carry this direct a line between daily conversations and monthly retention numbers.

2. Position Summary

As the Client Care Specialist, you resolve inbound client issues across all communication channels, owning the full support interaction from first contact through documented resolution while tracking churn risk and escalating where required. You operate within a structured client care team, working cross-functionally with product, sales, and technical teams to close knowledge gaps and represent the voice of the customer in each upstream conversation.

3. Why Join Us

Career Impact: Owning churn metrics and client satisfaction scores at the individual-contributor level gives you a quantifiable portfolio of retention outcomes that carries direct weight in B2B SaaS hiring decisions.

Business Impact: When a high-value account submits a cancellation request or a product issue goes unresolved, this role is the last functional layer standing between the client and churn, making your resolution rate a direct input to monthly recurring revenue.

Growth Opportunity: The cross-departmental visibility built in this seat, particularly through escalation paths to product and Tier II teams, creates a clear track toward Client Success Manager or Technical Support Lead roles within two to three years.

4. Key Responsibilities

  • Resolve inbound client inquiries across phone, chat, and email channels to ensure first-contact resolution wherever possible.
  • Manage the daily support queue, triaging ticket priority and escalating high-severity issues to Tier II or management within defined SLA windows.
  • Document, track, and monitor all support interactions in the CRM system to maintain accurate client records and resolution histories.
  • Analyze client feedback and feature requests, then relay structured summaries to product and development teams to inform upcoming releases.
  • Train new and existing clients on platform features and workflows, producing user-facing support guides and internal training documentation as needed.
  • Monitor client engagement patterns to identify accounts at risk of churn and flag them proactively to the customer success team.
  • Partner with sales and marketing teams on upsell and cross-sell opportunities identified during inbound service interactions.
  • Mentor junior team members on support procedures, serving as a subject-matter resource for escalated or complex account scenarios.

5. Required Qualifications

  • Bachelor's degree in communications, business, or a related field, or equivalent work experience.
  • 2 or more years of client-facing support experience, with demonstrated ownership of multi-channel service queues.
  • Proven ability to explain technical concepts clearly to non-technical users across varying skill levels.
  • Strong written and verbal communication skills, with professional standards in all client-facing correspondence.
  • Experience documenting client interactions and managing case records within a CRM platform.
  • Ability to manage multiple open cases simultaneously in a fast-paced environment while maintaining accuracy and composure.
  • Demonstrated judgment in escalating issues appropriately, including knowledge of when to involve management or technical teams.

6. Preferred Qualifications

  • Prior experience supporting a SaaS or technology product, including familiarity with ticketing workflows and product feedback loops.
  • Exposure to churn analysis, retention metrics, or client health scoring in a B2B environment.
  • Experience creating customer-facing training materials or internal knowledge base documentation.
  • Background in cross-functional collaboration with product, sales, or engineering teams on client-reported issues.

7. Success Metrics & Environment

  • First-contact resolution rate, measuring how often client issues are fully resolved without requiring a follow-up interaction.
  • Average handle time per ticket, tracking operational efficiency across phone, chat, and email channels.
  • Client churn rate on supported accounts, reflecting the downstream retention impact of daily support interactions.
  • Product engagement score on assigned accounts, indicating whether clients are adopting features after training and onboarding support.
  • Escalation accuracy rate, measuring how reliably high-priority issues are routed to the correct tier without over-escalation.
  • Typical tools: CRM platforms (commonly Salesforce or HubSpot); ticketing systems (commonly Zendesk or Freshdesk).

8. Compensation & Benefits (US Market Benchmark)

  • Base Salary Range: $42,000 to $58,000 per year
  • Bonus: Performance-based bonus tied to retention and CSAT targets, typically 5 to 10%
  • Equity: Generally not offered at this level; some SaaS companies include small RSU grants
